A self-service ordering portal for 350 dealers, with tiered pricing, credit limits and live ERP stock.
The client's dealers placed orders by phoning or messaging the sales desk, which then re-typed them into the billing system. At peak season the desk became a bottleneck, and errors from misheard item names were routine.
Four staff spent most of their day taking orders. Dealers could not see stock availability or their own outstanding balance, so orders were regularly placed for unavailable items or by parties already over their credit limit. Order-to-dispatch averaged a day and a half.
We built a dealer portal connected live to their ERP. Each dealer signs in to see their own price list, current stock availability, outstanding balance and credit headroom. Repeat-order shortcuts let them reorder a previous month's basket in a few clicks.
Credit limits are enforced at checkout with a defined approval route for exceptions, so the decision to supply beyond limit is deliberate rather than accidental.
Order confirmations and dispatch updates go out on WhatsApp automatically.
Within three months, around 78% of order volume moved to the portal, much of it placed outside office hours. Order-to-dispatch fell to under four hours for orders placed before the afternoon cut-off. The order desk was redeployed to collections and new dealer development.
“We were sceptical that our dealers would use a portal — most of them had been phoning orders in for fifteen years. Within three months, close to eighty percent of our volume was coming through it, a lot of it placed at night. Our order desk now does collections instead of typing.”
