A CRM handling nine-month sales cycles, multi-stage quotations and a field team across four states.
The client sells capital equipment with sales cycles running six to twelve months, multiple decision makers per account, and quotations that go through several revisions. Their pipeline lived in individual spreadsheets, and when an executive left, their accounts effectively left with them.
Management had no reliable pipeline view. Enquiries generated at trade exhibitions — a significant marketing spend — were followed up inconsistently, and there was no data on which sources actually converted. Quotation revisions were emailed as attachments, so nobody was certain which version a customer was holding.
We built a CRM around their actual sales stages, with qualification criteria at each gate. Leads flow in from the website, exhibition capture and WhatsApp, tagged by source. Every executive gets a single daily follow-up list rather than a spreadsheet to maintain.
The quotation module generates branded documents from approved price lists with full revision history, and enforces discount approval limits by value.
A mobile app lets field engineers log visits and update opportunity stages from the customer site.
Within two quarters the client could see, for the first time, that exhibition leads converted at roughly three times the rate of general web enquiries — which materially changed their marketing budget allocation. Quotation turnaround dropped from an average of two days to under three hours.
When a senior executive left the following year, their accounts transitioned without loss because the full history was in the system.
“The CRM told us something we did not want to hear: most of our web enquiries were going nowhere while exhibition leads converted three times better. We moved the budget accordingly. Quotations that used to take two days now go out the same morning.”
